Document Storage System (DSS), which was created to easily store and manage virtually any type of document into a searchable database.
These documents can be acquired directly from a scanner,
files, or created from almost any application on your Windows
based system. DSS could be used to store a wide variety
of documents including billing and invoices for home and
office, x-rays for medical, blueprints for manufacturing,
or any other type of Windows document for any organization.
Along with the images or
documents, you may either enter information about the document
or OCR the pages to extract keywords, so every document
can be easily searched and found in the future. These documents
are stored in a compressed format in either in the provided
MS Access database or in an enterprise database of your
choice using the Enterprise version of the software.
You may even add your own
custom fields that can be searched as well or hide fields
you don't need. When you scan a paper document in DSS, the
document is converted into tiff, jpeg, or png image formats
automatically to conserve space in the database.
All other types of documents
like MS Word documents, MS Excel spreadsheets, Adobe PDF
files, or any other types of files are compressed before
being stored. DSS was developed to be fully scalable from
the home office to a
large multi-user organization. You can easily upgrade the
database you are using from one like MS Access to MS SQL
Server, Oracle, MySQL, Interbase, IBM DB2, or Sybase without
requiring much effort. DSS can also make a copy of your
database into a format, which can be run from a CD-ROM on
a different machine without DSS being installed. With DSS
compression technology, literally thousands of documents
can be stored using up to 90% less space than regular files.
DSS also segments the information
about the document separate from the actual document or
image records so database performance is never compromised
even when there are a high number of document records. DSS
also has a repository mode for the high-speed scanning of
unrelated documents where they can be categorized at a later
time. The repository also allows you to divide incoming
document based on job function or workflow. The annotations
feature allows you to mark-up or add graphical features
layered above the image. DSS now has an optional OCR plug-in
to extract keywords from each page in the system, to assist
classifying the documents automatically. DSS has a simple
interface, but does include a help
file to help get you started. DSS is ready to grow with
your company.
